Simply Accounting 2005™

Here is a list of the changes between Simply Accounting 2004 and 2005. Please note the addition of the new Premium version with features and flexibility to suit users wanting more from their Simply Accounting™


Payroll – payroll module in all versions and/or stand alone Simply PayrollTM product
New Features:

  • Additional Types of Income
    • Piece Rate Income
    • Employees can be paid on the basis of quantity produced.
    • The unit of measure can be defined.

    • Make it easier for users to file large number of forms with the government.

    • Job categories can be setup for employees

    • In Simply Accounting, the job category will be used to determine if

    • Users can create and print checks for remittances for payroll deductions or expenses.

    • Allow users to exempt employees from CPP/QPP deductions
  • Expanded Pay stub with YTD values

  • Alerts that pop-up in the journals
    • An option will be added to the user-defined ledger fields (except for GL records), allowing users to flag them to automatically pop up as a message or warning when the record is selected in any journal
  • Built-in easier-to-use forms designer
    • Easier to design with
    • Works with data directly from Simply
    • Can customize from within Simply
    • Can Preview Invoice before Printing
  • Deposit slips
    • For easier bank deposits and account reconciliation.
  • Export/Import budgets
    • In order to make this feature easy to use, Simply will include a function to export budgets in the same format that it uses for import. This allows users to export budgets, update them in Excel, and then import the same file.
  • Export/Import price lists
    • In order to make this feature easy to use, Simply will include a function to export price lists in the same format that it uses for import. This allows users to export prices, update them in Excel, and then import the same file
  • Salesperson on sales invoice
    • Users will be able to indicate the salesperson on sales invoices/orders/quotes.
    • Stick Pin beside Salesperson
  • Switch on the fly English/French bi-lingual (Canadian version only)

User Interface Improvements

  • Show company name prominently in the Home Window
    • To give users an easy way to identify which company they have loaded, the company name will be shown in a strategic location in the Home Window.
  • Display and print longer alphanumeric dates
    • Helps to avoid possible confusion that various date format may cause. e.g. “11-12-03”
  • Widen and Re-name Ship column in Purchases and Sales windows to Quantity
  • Ability to turn off (hide) features.
    • Users will not have to deal with unnecessary fields, less clutter in the User Interface.

Enhancements

  • Account Selection
    • GL account enter list will now have radio buttons
      • “Suggested accounts”
      • “All accounts”
    • Account Class will show on Enter List
  • “Add on the Fly” sales and purchase items
    • If the user enters an item that does not exist in the inventory ledger, they will be asked if they want to add the item to their inventory/services records, or if they wish to continue without adding the item.
  • Allocate entry to projects in one place
    • To make data entry faster, users can allocate project allocations for an entire transaction at one time and in one place.
  • Bypass Search Box for Account Selection Window
    • Users who prefer to scroll through list of accounts as in previous versions can skip the search box.

    • In View Menu – Close All Windows Selection

    • If a window in Simply Accounting is maximized before it is closed, the next time it opens will be maximized again
    • Default report window size will be larger.

  • Increased Customization of reports by allowing users to select which columns to include on reports.

  • Makes printing easier for users who maintain more than one company’s set of books.

  • Client can now set the number of copies of receipts, invoices, orders, quotes and time slips to be printed

    • Emailed forms are now in PDF format
  • Crystal email forms like invoices, receipts etc will now be sent in PDF format instead of RTF

Simply Pro and Simply Premium Only

New Features

  • Enter Sales Orders and Sales Invoices on Pocket PC (handheld) devices and upload the data into Simply Accounting.
    • Users will also be able to download and synch up their data with Simply Accounting in order to coordinate prices, items, customer lists, etc. as often they wish.
  • Enter in time slips using handheld Pocket PC devices
  • Integrate with Microsoft Outlook
  • Project Allocation on time slips
    • Users will be able to enter project allocations on time slips and have those allocations flow through to sales when the time slip is billed on an invoice.
  • Time Slip Entry only
    • Users can be set up in Simply to have access only to time slips. When these users login, they will see only the time slip and will not have any access, to any other part of Simply.

User Interface Improvements

  • Expanded Home Window
    • A new tab titled “My Business” will be added
    • In the second level User Interface, this tab will contain icons for the most commonly used functions.
    • If users do not wish to see this tab, they can switch back to viewing the Home Window in its classic style.

Enhancements

  • Easier time slip entry
    • Users will be able to flag the job categories to be used in time slips so that the list of employees available for time slips only lists relevant employees.

Reporting Improvements

  • New Reports
    • Departmental trial balance and balance sheet
    • Time & Billing reports by job category
  • The time & billing reports can be broken down, grouped and totaled by employee job category.
  • Changes in Old Reports
    • Drilldown in departmental income statement.
    • Purchases and Sales Back Order Reports show Quantities on Back order

Simply PremiumTM Only

New Features

  • Consolidations
    • In GAAP, consolidate financial Statements are required when one company owns all or a significant portion of another
    • The client can consolidate a number of companies into one consolidated parent company.
      • Data can be consolidated from Basic, Pro and Premium.
  • Expanded and Flexible Chart of Accounts
    • The number of digits in the account number can be expanded from 4 digits to up to 8 digits.
      • Clients can now have over a million account numbers
    • Users can modify and expand the range of account numbers allowed for assets, liabilities, equities, revenues and expenses.
      • For example, clients who keep a 4 digit account number can modify their account ranges so that accounts can range from 1000 to 9999.
  • Customization – Terminology
    • User customizable terminology
    • Users will be able to set the names for the following terms within Simply:
      • Vendors, Purchases, Invoices, Payments, Customers, Sales, Invoices and Receipts.
      • For example, the term “customer” can be changed to “buyer”, “client”, “donor”, “member”, etc.
